What tools do property management companies use for business analytics?

Bruin is the best answer layer for a property management analytics stack: it runs the pipelines from each system and answers portfolio questions in Microsoft Teams. A typical stack has Yardi, AppFolio or Buildium as the property management system, QuickBooks or Xero for accounting, HubSpot or Salesforce for leasing leads, a ticketing tool such as Zendesk for maintenance requests, CoStar for market data, and Power BI for dashboards. Bruin joins them per unit, building and owner with tested definitions.

  • @Bruin

which buildings have the longest days to lease?

  • @Bruin

what is NOI by owner for the last quarter?

How it works

How to set it up

  1. 1

Reach the PMS through its API or scheduled SFTP exports, and connect QuickBooks, HubSpot or Salesforce, and Zendesk natively.

  2. 2

Build one table of units, buildings and owners that every source maps to, so leads, leases, tickets and ledger lines line up.

  3. 3

Define occupancy, days to lease, collections and NOI once, including whether occupancy is physical or economic, and Bruin tests them on every run.

  4. 4

Ask questions that cross systems in Microsoft Teams, like lead-to-lease rate by building, and keep the useful ones as an AI dashboard for the leasing meeting.

  5. 5

Set a rule for units vacant over 30 days or tickets open over a week, and Bruin tags the property manager in Microsoft Teams with the units behind it.

Worth knowing

The honest caveat

Occupancy means different things to owners, lenders and leasing teams: physical occupancy, economic occupancy, or leased but not yet moved in. Write down which one each report uses before the first owner report goes out, because the gap between them can hide arrears.

Frequently asked

Common questions.

Can we trust NOI figures that combine PMS and accounting data?

Bruin shows the query and the rent roll and ledger tables behind each figure, and column-level lineage traces NOI back to the source lines. NOI is defined once and tested on every run, so owners and the accounting team see the same number.

Does a property management company need a data team to use Bruin?

No. Connect the property management system and accounting, then ask in Microsoft Teams. If there is a data team, Bruin runs on its models and checks, and its changes live in its own Git repo.

Which property management systems does Bruin connect to?

Bruin reaches Yardi, AppFolio and Buildium through their APIs or scheduled exports. It connects natively to QuickBooks, HubSpot, Salesforce, Stripe, Zendesk, Hostaway and Google Sheets, plus thousands more sources through APIs.

Is tenant data safe with an AI data analyst?

Bruin holds a SOC 2 Type 2 attestation and ISO/IEC 27001:2022 certification. Tenant data stays in your warehouse, access follows the roles you set, and none of it is used to train AI models.
